Privacy notice
Last updated: 16 October 2026
This notice explains how PIAT Ltd, trading as PIAT Logistics ("we", "us"), collects and uses personal data when you visit piat.solutions, ask us for a quote, or when we handle a shipment that involves you. We are the controller of this data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are and how to contact us
PIAT Ltd, registered in England and Wales, company no. 14632455. Registered office: DMC 01, County Way, Barnsley, S70 2JW, England. We are registered with the Information Commissioner's Office (ICO) under registration number ZB535607.
For any question about your data, email sales@piat.solutions with "Data protection" in the subject line, or write to us at our registered office. We have not appointed a Data Protection Officer because the law does not require one for a business of our size and activity.
The data we collect
- Enquiry details: your name, company, job title, email, phone or WhatsApp number, and what you tell us about your cargo, route and dates when you use our quote forms, email us, message us or call us.
- Shipment details: names and business contact details of shippers, consignees, notify parties and their staff, and the information that appears on shipping and customs documents (for example invoices, packing lists, waybills and bills of lading). For road and rail border crossings this can include drivers' or escorts' names and document details supplied by carriers.
- Photos and reports: photos of cargo, wagons, containers and premises taken at loading, transshipment and delivery points. We take them to record the condition of cargo, not to identify people, but people working nearby can sometimes appear in them.
- Business relationship data: contact details of the people we deal with at customers, suppliers, carriers, ports and partners, and the record of our correspondence.
- Payment and accounting data: billing contacts, invoices, payments and company bank details. We do not take card payments through this website.
- Technical data: when you visit the website our hosting provider automatically records server logs, including your IP address, browser type, the pages requested and the time of the request. We do not use cookies or analytics tools (see our cookie notice).
We do not ask for special category data (such as health, religion or ethnicity) or criminal offence data, and we ask you not to send it to us.
Where we get it from
Mostly from you. We also receive data from your suppliers, buyers and agents, from carriers, rail operators, ports, terminals, customs brokers and inspectors involved in a shipment, and from public sources such as Companies House and company websites.
Why we use it and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry and preparing a quote | Steps you asked us to take before entering into a contract; our legitimate interest in responding to business enquiries |
| Arranging, monitoring and reporting on shipments, including daily status updates and photos | Performance of our contract with our customer; our legitimate interest, and that of our customer, in moving cargo safely and on time (where you are not our customer, for example a consignee or carrier contact) |
| Customs, export and transport documents; sanctions and compliance checks on parties and routes | Legal obligation; our legitimate interest in trading lawfully and protecting our business |
| Invoicing, accounting and tax records | Performance of contract; legal obligation |
| Occasional emails to business contacts about our services and changes on routes we operate | Our legitimate interest in developing our business. You can opt out at any time and we will stop. |
| Keeping the website and our email secure | Our legitimate interest in protecting our systems |
| Dealing with claims, disputes and complaints | Our legitimate interest in establishing, exercising or defending legal claims |
Where we rely on legitimate interests, we have balanced them against your rights and you can object at any time (see "Your rights"). We do not make decisions about you based solely on automated processing, and we do not sell personal data.
Who we share it with
Only where needed for the purposes above:
- carriers, railway operators, ports, terminals, warehouses, freight forwarders and agents who handle the shipment;
- customs brokers and customs, border and transport authorities;
- independent inspectors and surveyors, and insurers where a shipment is insured or a claim is made;
- our professional advisers, such as accountants and lawyers;
- service providers who host and run our systems: our website hosting provider (Freeola, UK), Microsoft 365 (email, documents and file storage) and, if you choose to contact us that way, WhatsApp (Meta);
- police, regulators or courts where the law requires it.
International transfers
Our work moves cargo between the UK and countries such as Kazakhstan, Uzbekistan, Azerbaijan, Georgia and Turkey, and on to other destinations. Sharing shipment data with carriers, agents and authorities in those countries is necessary to perform the contract with you or in your interest, and we rely on that where a country has no UK adequacy decision. When we use service providers outside the UK, we use countries covered by UK adequacy regulations or protect the transfer with the ICO's International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries that do not lead to a shipment: up to 24 months after our last contact, then deleted.
- Shipment files, transport and customs documents, invoices and accounting records: six years after the end of the financial year they relate to, as required by HMRC, or longer if needed for a claim or dispute.
- Cargo photos and status reports: kept with the shipment file.
- Server logs: kept by our hosting provider for a short period for security purposes.
How we protect it
We keep data in password-protected business accounts with two-factor authentication where available, limit access to the people who need it, and use encrypted connections (HTTPS) on this website.
Your rights
You have the right to ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, and to receive data you gave us in a portable format. Where we rely on your consent, you can withdraw it at any time. Some rights have limits, for example we must keep accounting records for the time the law requires.
To use any of these rights, email sales@piat.solutions. We will reply within one month. There is normally no charge.
Complaints
If you are unhappy with how we have handled your data, please tell us first at sales@piat.solutions. We will acknowledge your complaint within 30 days and tell you what we are doing about it.
You can also complain to the Information Commissioner's Office: Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, telephone 0303 123 1113, ico.org.uk/make-a-complaint.
